To volunteer at Tinderbox

As a huge thank you for your effort, you will receive:

At Tinderbox, we are proud to have nearly 7,000 volunteers in our festival community. A community tht helps build the festival from the ground up. Without volunteers, there would be no Tinderbox.

Choosing to volunteer with us is an active decision. Whether it’s your love for Tinderbox, the music, and the party, your desire to enhance your resume, your passion for volunteer work, or something else entirely, you are part of the festival for a reason. You contribute with both professional and personal commitment because you want to create something meaningful and see yourself as part of what the festival represents.

As a volunteer, you take on responsibility for the festival, your immediate leader, your team, and all your fellow volunteers. We count on you, and you can count on us.

You create the best volunteer festival experience largely yourself – it’s about attitude, a positive mindset, and the willingness to collaborate on many different levels. In return for your effort and help, we promise to give you something for your resume, fantastic music, an unforgettable experience, time with new and old friends, and much more.

As a volunteer, you help represent the festival. Regardless of your role, it is therefore important that you see yourself as part of the community that works to give the festival’s guests the best possible experience. Smiling and providing good service – even in hectic situations – are your strongest tools.

For everything to run smoothly, it’s crucial that we support each other along the way, and that you also assist with tasks outside your usual work area. A good example is our “Trash Hero” initiative at Tinderbox. This means, that you automatically become part of the annual effort to improve waste sorting. No matter which team you are in, or what tasks you have, you always help keep the area clean and welcoming.

Sustainability is more than just a word at Tinderbox – it’s a collective effort where we stand together and support each other. Over 60% of our waste undergoes a meticulous sorting process, a number we are very proud of. This wouldn’t be possible without our dedicated team of volunteers in the resource area.

These volunteers are our true heroes, working year after year to beat the previous sorting record. But we know there is always room for improvement, so we encourage everyone to join in the effort to increase our sorting percentage. As a Tinderbox volunteer, you commit to helping keep the festival site clean and welcoming, so we leave it with the least possible impact – no matter which team you are on.

We sort our waste into no fewer than 10 main categories, and some of these are further divided into several fractions to ensure that the material can be recycled and given new life. At Tinderbox, waste is not just something to throw away – it’s a resource that deserves to be reused and transformed into something new and sustainable.

Practical

There is an option to park your car close to the venue. It requires a parking ticket. They can be purchased for single days or for all three days.

If you park in Odense city center, shuttle buses run from Odense Train Station Center to the venue.

If you are cycling to Tinderbox, you can park your bike in one of several bicycle parking areas. You can find the areas on our app or here on the site when this year’s map of the venue is ready. There will also be bike parking at the volunteer check-in.

Note Parking your bike in the bicycle parking area is at your own risk. You are allowed to bring your bike battery into the venue, but it is required that the battery is stored in a locker at the main entrance.

There is no wardrobe for volunteers, but it is often possible to leave a jacket and a small bag at your station.
Storage outside of lockers is at your own risk.

If you have many items and want to ensure they are stored safely, you can book a locker.

Note! There is a limited amount fo availability, and it follows the concept first come, first served. We cannot guarantee that there is a cabinet for everyone. When you are working, you can bring a small bag or jacket which you can bring to the area, that you are working at.

When You’re on Duty

When you’re on duty, you can use either the Main Entrance or the entrance at Volunteer Check-In (Falen 170, 5200 Odense V). We recommend using the entrance closest to your Meeting Point. You can find your Meeting Point in Ruby under “My Shifts”.

Snacks and Food on Duty

Note: If you use the Main Entrance, you are not allowed to bring snacks/food into the venue. If you want to bring snacks/food for your shift, you must use the entrance at Volunteer Check-In.

When You’re Off Duty

When you’re off duty and want to be a guest at the festival, you must use the Main Entrance. The Main Entrance is located at Falen 175, 5200 Odense V.

When you’re off duty, you are not allowed to be in the back area, which includes everything outside the main festival grounds. This is for safety reasons, as trucks and many other vehicles operate in these areas.

It will be possible to charge your phone in the Volunteer Lounge.

A limited number of various chargers are available.

Remember to make space for everyone.

It is not possible to stop or park your car when you need to get your wristband.

If you are working before or after the festival, you can collect your wristband at the production check-in at the following times:

June 20th – June 23rd: 8:00 AM – 8:00 PM

June 24th – June 25th: 8:00 AM – 10:00 PM

If you are working during the Tinderbox event, you can get your wristband at the Volunteer Check-In at the following times:

June 26th – June 27th: 8:00 AM – 10:00 PM

June 28th: 9:00 AM – 8:00 PM

If you arrive on Saturday, June 29th, you must collect your wristband at the production check-in between 8:00 AM and midnight.

Note! The wristband is personal, and you will receive it when you check-in. Therefore, you cannot pick up wristbands for others or have others pick it up for you.

The Volunteer Lounge is the place where volunteers gather at Tinderbox.

In addition to great company and everything you bring to the area, you’ll find:

  • Volunteer Catering, where you get your meals while on duty.
  • A bar where you can get beverages at up to 50% off.
  • Water stations to fill up your reusable water bottle, which we provide for yo
  • Free coffee.
  • Seating areas.
  • Restrooms.

Below you’ll find the Tinderbox volunteer map. If you wish to have the map in higher resolution, you can find it in the info package we have sent you via SMS.

On the card, you can see where to get your wristband, Meeting Points (MP), where the Volunteer Lounge is located, where the toilets, water stations, and much more are.

Be sure to double-check where you should meet, as it varies from shift to shift. You can find the meeting point under “my shifts” in Ruby.

If you are missing a meeting point, please contact your team leader.

You are not allowed to bring your own recording devices, cameras, or professional photo device without permission. You are allowed to bring your phone and small pocket cameras without permission. 

It is forbidden to take pictures or videos, ask for autographs or take contact with the different artists. I respect the artists personal life. 

All volunteers are covered by the mandatory workers compensation insurance. This insurance covers personal damage – not private property.

For example, if you bring your computer to the festival, you are responsible for it yourself. Additionally, we have organizer liability insurance that covers damage to third parties caused by employees while performing their duties.

It is important that you immediately report any injury to your team leader, as failure to do so may result in your injury not being covered.


Note: Booking closes on Sunday 23/6 at 12 pm.

There isn’t a campsite specifically for volunteers at Tinderbox, but it’s possible to purchase affordable accommodation for volunteers at a nearby school.

NOTE! There are very limited spots, and accommodation is ONLY for TB24 volunteers. Due to the very limited spots, priority is generally given to volunteers coming from afar.

General information

  • Accommodation costs 255 DKK, which covers all 3 nights from Thursday to Sunday. Payment is made when you check in at the campsite.
  • It’s possible to purchase breakfast for 150 DKK for all 3 days. Payment is made when you check in at the campsite.
  • Accommodation is outdoors, and you must bring everything yourself (tent, sleeping bag, sleeping pad, etc.).
  • Toilet and shower facilities are available at the school.
  • If you purchase accommodation, it’s possible to park at the school during the festival.

How to book accommodation

If you wish to book accommodation, please send an email to frivilligovernatning@tinderbox.dk with the following information.

  • Your full name.
  • Your email.
  • Your phone number.
  • The team/task you’re volunteering at (e.g., Gatekeeper).
  • Whether you want to purchase breakfast (breakfast costs 150 DKK for all 3 days).
  • When you expect to check in and out (see timeslots below).
  • If you are sharing a tent with anyone and the names of the people you are sharing with.

NOTE! You can only book accommodation for yourself. If you’re a group of friends, each person must send an email.

NOTE! Your accommodation is only booked once you receive a confirmation email from Tinderbox.

Accommodation rules

  • You must be a volunteer at Tinderbox 2024 to use this accommodation.
  • This is not a party camp, as it’s reserved for working volunteers and crew. You must respect that the purpose of the area is accommodation and therefore there should be peace and quiet.
  • When leaving the campsite, you must clean up after yourself. It’s not allowed to leave behind tents, chairs, or trash.
  • If you do not follow the rules, you will be asked to leave the area.

Check-in and check-out:

You can check in on Thursday from 09:00-15:00

You must check out by Sunday at 12:00 at the latest

If you’re unable to check in/out at the times above, this must be arranged with Tinderbox at frivilligovernatning@tinderbox.dk.

Voluntary registration

Ruby is Tinderbox’ volunteer system, and this is where you sign up as a volunteer. In Ruby, you will also find your team, your shift schedule, your team leader’s contact information, and other relevant updates.

At Tinderbox, we don’t have a fixed number of hours you need to commit as a volunteer. It depends on several factors such as tasks, time, and period (before, during, or after the festival).

Some shifts are a bit easier and take place at a great time, while others may be more demanding or coincide with a performance by a popular artist. Therefore, the number of hours is typically between 10-17 hours during the festival, and around 18-26 hours before/after the festival. We believe this is the fairest and most flexible distribution.

For the same reason, your hours may either be spread over several shifts or concentrated on one day.

In most teams, you have the option to choose your shifts, so you’re free to plan your time as you wish.

Deposit

When you sign up as a volunteer in Ruby, you will be asked to pay a deposit of 300 DKK.

Note! The deposit will be refunded, provided that you participate and complete your task, as well as comply with our terms and conditions.

Unfortunately, we have experienced that some volunteers don’t show up to their shifts, even though they have agreed to help in exchange for access to the festival and other volunteer benefits. When a volunteer does not show up, it places a heavy burden on the other team members who are present and have to take on extra responsibilities to cover for them. This is not fair to the rest of the team.

If you attend all your shifts, complete your assigned tasks, and comply with our rules and terms, you will, of course, receive your full deposit back. You can expect to receive the money within 14-21 days after the festival – we strive to be as quick as possible.

Please note! The refund will be made to the same account that was used for the deposit. If you have received a new payment card in the meantime, the refund will still be sent to the account associated with the previous card.

If you change banks, the refund cannot be processed automatically. In that case, please contact us at volunteer@tinderbox.dk as soon as possible.

When you sign up as a volunteer through our volunteer system Ruby, you will automatically be asked to pay a deposit. You can pay with card or Apple Pay.

Cancellation and fee

You risk a fee if you do not comply with the festival’s terms and conditions. This includes requirements such as attendance at your shift. If you do not complete your shift(s) without proper notice, a fee will be imposed.

  • If you don’t show up to all of your shifts, the fee will be DKK 2,700.
  • If you miss one of several shifts, the fee will be at least DKK 1,500.

It is your responsibility to properly notify us of any cancellation and to be able to document this. Read more under “Cancellation”.

If you’ve picked up your wristband and subsequently cancel or do not show up for your shift, you must send a picture of your cut wristband to volunteer@tinderbox.dk with the subject “cut wristband.” If we do not receive a picture of your cut wristband within 1 hour after your cancellation, you will be charged a fee of DKK 2,700. We therefore recommend that you send the picture along with your cancellation.

Cancellation on Saturday and/or after the festival
If you have picked up your wristband and cancel on Saturday and/or after the festival, the fee will be at least DKK 1,500. In this case, a picture of the cut wristband is not sufficient to avoid the fee.

Age

You must be at least 18 years old to volunteer at Tinderbox.

It is not possible to register in Ruby if you are under 18 years old.

Food and beverage when working

Yes, of course!

As a volunteer, you will receive meals during your shift(s). If you have a shift during the festival, you will get two free meals, while you will receive four free meals if you volunteer before/after the festival.

We provide vegetarian options, but feel free to bring your own food if you have allergies or specific dietary needs.

We recommend that you always eat before leaving home, regardless of when your shift is. It can be a long wait for a break on an empty stomach.

No, unfortunately not. You are not allowed to bring your own beverages – neither alcoholic nor non-alcoholic. You can read more under terms and conditions here.

Instead, we encourage you to visit the Volunteer Lounge, which is our volunteer area. Here, you’ll find a water station where you can fill the reusable water bottle we provide, as well as a bar offering up to 50% off beverages.

You are welcome to bring some snacks for personal consumption while you are on shift. A protein bar, a piece of fruit, or something similar can be helpful if your blood sugar starts to drop.

Personal data policy

1.1
This personal data policy applies to all the personal data that you provide to us and / or which we collect about you as part of your affiliation as a volunteer at the festival. We are the data controller for the processing of your personal data.

In this personal data policy, you can read more about which personal data we collect, how we handle your personal information and how long we keep information about you etc. You should read this policy and approach the festival’s Volunteer Management at volunteer@tinderbox.dk if there is anything in this policy that you cannot accept. The overall legal framework for our processing of personal data is the European Parliament and Council Regulation (EU) 2016/679 27 April 2016 on the protection of individuals about the processing of personal data and the free movement of such data and the repeal of Directive 95 / 46 / EC with related regulation. In addition, the law which may be adopted based on the draft law on supplementary provisions for the regulation of the protection of individuals regarding the processing of personal data and on the free movement of such information, is published on 25 October 2017.

2.1 Below are definitions of some of the most important personal data protection concepts:

Personal Information: Any kind of information about an identified or identifiable physical person. In other words, any information that can directly or indirectly, alone or in combination, identify a certain physical person.

3.1
The purpose of collecting and processing the personal data is to handle your participation as a volunteer at the festival and further events within Down the Drain Group. Your personal information will be used for the following purposes:

– Documentation of the event history

– Contact in connection with your participation in our events etc.

– Ordinary personnel administration, including registration of enrollment for events, overview of assignment registration, publication of information (including newsletters, evaluation link, return invitation etc.)

– Administration of collection / refund of deposit and fees etc.

– Administration of industrial injury insurance for volunteers

3.2
We only use your information for the above purposes unless a new purpose is clearly compatible with the original purpose or if you have previously given consent.

3.2.1
To ensure the quality of your personal information, you will be automatically asked to update them annually. However, we dependent on you inform about relevant changes such as new e-mail address, new phone number or the like.

4.1
We collect this information directly from you:

4.1.1
Name, address, zip code, city, mobile number, email address, social security number, registration and account number (only on medical certificate request).

4.1.2
We generally do not collect any specific categories of information about you. However, we would like to know if there is anything health-related we must consider in connection with the tasks you are expected to solve at our event. For example, if you have poor back, bad knees, a disability or the like. Furthermore, if you receive medication for something that we need to be aware of – asthma, allergies or the like. We treat the information exclusively based on your participation in the festival. Afterwards, the information will be deleted.

4.1.3
In connection with your registration as a volunteer at the festival, you are requested to give consent that we reserve the right to obtain information about your criminal record. We only treat the certificate based on your consent. We will delete the certificate immediately after your participation in the festival. With your consent, we will subsequently obtain information about your criminal record once a year if you still wish to be a volunteer.

5.1
You enter into an agreement with us when you volunteer at the festival. For us to manage your voluntary affiliation, we need to be able to process your personal information. We can also process your regular personal data if you have a request or the like that precedes your decision to enter into an agreement with us. The legal basis for processing your personal data is Article 6 (1). 1, (b) of the Personal Data Regulation, as the processing of your information is necessary for us to fulfill our agreement with you and / or that we may handle inquiries and the like prior to your potential agreement with us.

5.2
We may also process a few common personal data about you as part of your affiliation with us as a volunteer, because we have a legitimate interest in processing such information, cf. the Personal Data Regulations category. 6 pieces. 2, (f) unless your right to obtain the protection of your own personal data precedes our legitimate interest in processing your information.

5.3
In some cases, we are also legally obliged to process personal information about you. This can, for example, be used for documentation of medical allowance, expenses and the like in accordance with the rules in the Danish Bookkeeping Act. The company must, among other things, store accounting records for five years from the end of the financial year to which the accounting record relates.

5.4
Our processing of any special categories of personal data (sensitive information), such as, information about your health, is based on your consent, cf. the Personal Data Regulations category. 9 p. 2, (a) or in order that a legal claim can be determined, enforced or defended, cf. the Personal Data Regulations category. 9 p. 2, (f).

6.1
We share your personal information with the third parties who assist us in managing our personnel administration, including, for example, handling of the charge / refund of deposit and fee, hosting of IT systems, etc. This means that we can share your information with, for example, our data processors, e.g. consisting of service providers and technical support.

6.2
We can also share your information with our other companies / organizations to the extent this is relevant.

In addition to the above, we share your information to the extent that we are obliged to do so, e.g. because of requirements for reporting to public authorities such as SKAT.

8.1
Insight

8.1.1
You have the right to gain insight into the personal information we treat about you. By writing to the festival’s Volunteer Management at volunteer@tinderbox.dk, you can request access to the personal information we have registered about you – including the purposes for which the information was collected. We will comply with your insight request as soon as possible.

8.2
Correction and deletion

8.2.1
You have the right to request the correction, additional processing, deletion or blocking of the personal information we process about you. We will comply with your request as soon as possible. We will contact you, if we cannot accommodate your request.

8.2.2
Other rights are stated in the Articles 18 – 20 of the Regulation

8.3
Revocation of consent

8.3.1
You have the right to withdraw your consent, if the processing of your personal information is based on your consent. Your withdrawal does not affect the legality of the treatment that was performed before you withdrawn your consent. Please contact the festival’s Volunteer Management at volunteer@tinderbox.dk if you have any doubts as to whether you have consented to the processing of your personal data or if you wish to revoke your consent.

8.4
Terms and / or limitations of your rights

8.4.1
There may be conditions or restrictions related to the utilisation of the above rights.

8.5
Possible consequences of not submitting personal data

8.5.1
If you do not wish to give consent to personal data within the above described framework, you may not be voluntary at the festival.

7.1
We store the personal information, we treat about you as part of the ongoing administration of your volunteer work at the festival, such as information on event history, CPR, e-mail address in connection with invitation as a recurring volunteer etc., for up to two years from you were last active at one of our events. If you do not actively update and approve that we must continue to store your information, all your information will be permanently deleted in our database.

7.2
Other personal information about you that we deal with, such as a criminal record, work or residence permit, will immediately be deleted after your participation at the festival.

9.1
Our processing of personal data is subject to our IT and security policy. Our IT and Security Policy also contains rules for implementing risk assessment and impact analysis of existing and new or changed processing activities.
